Approve what carries real risk
A salary change, a job change, anything touching money or authority, deserves approval. A phone number update does not. Route approvals to the transactions where a bad or unauthorised change actually costs something.
Match the approver to the decision
The right approver is the person who genuinely has the authority and context to judge, not a rubber-stamp three levels up who approves blind. A meaningful approval beats a ceremonial one.
Keep the chain short
Every approval step is delay. Two considered approvals beat five reflexive ones. Challenge each step, does this person genuinely add control, or just latency? Trim ruthlessly.
Real scenario: a client routed nearly every HR change through a three-level approval, so managers spent hours approving address changes and trivia, and the real risky changes got the same reflexive rubber-stamp as the noise.
