Costing Suspense Accounts: The Safety Net Finance Actually Checks

When costing can't find an account, it lands in suspense. Ignore suspense and your GL is a mess; own it and month-end stays calm.

Suspense accounts are the drain under the sink, nobody thinks about them until they're overflowing. In payroll costing, suspense is where entries land when the system can't resolve an account. Left unwatched, it quietly grows into a month-end reconciliation nightmare finance blames on payroll.

Give suspense a clear owner

Someone must own clearing suspense, every cycle, not 'when we get to it'. An unowned suspense account is a growing pile of unexplained money that finance eventually trips over.

Design suspense to be visible, not silent

Configure it so entries landing in suspense are obvious and reported, not buried. The whole value is catching the mapping gap this period, not discovering it at year-end.

Treat every suspense entry as a config gap

Each thing that lands in suspense is telling you a costing rule is missing or wrong. Fix the rule, don't just reclassify the entry, or it lands there again next month.

Real scenario: a client ignored suspense for a year. It hid a costing rule gap on a whole department, tens of thousands mis-posted, and finance found it during audit. Ugly. We built a monthly suspense review with an owner. Now gaps get caught in days, not audits. Simple discipline.
